Email Deliverability 101: The Technical SEO Every Marketer Needs to Know

Almost one in five marketing emails never reaches an inbox. Not the spam folder. Not promotions. Gone before anyone had a chance to see it. Most marketers blame the subject line. Sometimes that's fair.

But more often the problem happens before a single word is read, buried in DNS settings nobody bothered checking. Deliverability is the unglamorous part of email marketing, and it's also the part deciding whether any of your other work matters.

1. Think Of It As SEO For Your Inbox

Mailbox providers run checks on every email before a human ever sees it. Gmail and Outlook aren't guessing whether you're legitimate; they're verifying it against a specific set of records tied to your domain.

Miss one, and you're not risking the spam folder. You're risking outright rejection, no delivery attempt at all. This isn't optional homework. It's the baseline.

2. SPF Tells Servers Who's Allowed To Send

SPF is a DNS record listing which servers can legitimately send email from your domain. Without it, anyone can spoof your name and send whatever they want. It happens more than most people realize.

The syntax is unforgiving. One extra space, one wrong character, and the record fails silently, meaning you won't even know it's broken until deliverability craters.

And here's a mistake I see constantly: publishing two SPF records instead of merging them into one. That instantly invalidates both.

An online SPF record generator removes the guesswork. You input your sending sources, it outputs correctly formatted syntax. Simple, but it fixes a problem that quietly wrecks more campaigns than bad copy ever does.

3. DKIM Proves Nothing Got Tampered With

SPF confirms who's allowed to send. DKIM confirms the message wasn't altered along the way. Different job entirely.

Most email platforms configure DKIM automatically now, which helps. But if you send from more than one source, your CRM, your newsletter tool, whatever transactional system runs your receipts, each one needs its own DKIM setup. People assume it carries over. It doesn't.

Neither SPF nor DKIM alone gives you full protection. Relying on just one is like locking the front door and leaving a window open.

4. DMARC Decides What Happens Next

DMARC ties the previous two together and tells receiving servers what to do when something fails: reject, quarantine, or just log it and move on.

Unpopular opinion, maybe, but a well-configured DMARC policy set to monitor only, and never actually read, is basically decorative. It's generating reports nobody opens. The value isn't in having it. It's in acting on what it tells you.

Still, even flawless authentication won't rescue a bad list. You can pass every technical check and still tank your sender reputation because you're emailing addresses that bounced over a year ago.

5. List Quality Is Where Most Budgets Quietly Leak

Take a list of 50,000 contacts where 8% no longer exist. That's 4,000 emails actively damaging your sender score every send. Not neutral. Actively harmful.

Running contacts through email verification software before a major send catches typos, disposable addresses, and mailboxes that stopped existing months ago. It's not glamorous work, but skipping it is how good authentication gets undermined by a bad list anyway.

6. Sender Reputation Is A Score You Can't See

Every domain and IP carries an invisible reputation, built from engagement, complaints, and bounce rates. Nobody sends you a statement. You just watch open rates decline for reasons that seem to make no sense.

What makes it fastest: people marking your email as spam instead of unsubscribing, sudden volume spikes from a domain with no sending history, and continuing to email people who haven't opened anything from you in half a year.

Warming up a new domain gradually, small volume increasing over two or three weeks, is slow and mildly tedious. It also works, and there's no shortcut that replaces it.

Winding Up

None of this makes for an exciting case study. But get SPF and DKIM configured properly, set DMARC to actually enforce rather than just observe, and verify your list before every meaningful send. Pay attention to engagement, because mailbox providers already are.
